  • Member & guest details: name, email, phone, town, business name & category.
  • Attendance records for in-person and online meetings.
  • Payment records (membership fees, breakfast payments) — no card data is stored on our site.
  • Messages via forms or WhatsApp groups related to WLB activities.
  • Basic website data: cookies/analytics needed for site functionality and performance.

2) Purpose of Processing

  • Manage membership, attendance, and event operations.
  • Enable referrals and collaboration between local businesses.
  • Process payments and keep accurate records.
  • Maintain an up-to-date, trusted database of West Coast businesses.
  • Send meeting notices, updates, and important community communications.

3) Lawful Basis & Consent (POPIA)

  • We process information with your consent and to perform our membership agreement.
  • We may process information to comply with legal obligations (e.g., record‑keeping).
  • We follow POPIA principles: lawfulness, minimality, purpose limitation, security, transparency.
  • You can withdraw consent for non‑essential communications at any time.

4) Sharing & Disclosures

  • Your profile (name, business, contact) may be shared with members for networking/referrals.
  • We do not sell personal information.
  • We disclose information only when required by law.
  • Third‑party processors (payments/hosting) are bound by confidentiality and security obligations.

5) Security & Retention

  • Reasonable technical and organisational measures protect information.
  • Access limited to authorised admins with business need.
  • Data retained only as long as necessary, then deleted or de‑identified.
  • We will notify affected individuals and the Information Regulator if required.

6) Your Rights (POPIA)

  • Request access, correction, update or deletion where appropriate.
  • Object to processing or opt‑out of non‑essential communications.
